Wedding Venue Questions a Photographer Recommends (Before You Fall in Love with the Fairy Lights)
If you’re newly engaged and knee-deep in venue browsing, welcome. You’ve probably got 17 tabs open, a saved Instagram folder full of barns and fairy lights, and that moment of wondering how on earth you’re meant to narrow it down.
The good news? You don’t need a list of 50 questions to ask a venue. You just need the right ones.
I photograph weddings across Oxfordshire and the Cotswolds every year – including venues like Merriscourt, Caswell House, Worton Hall, Stratton Court and Stone Barn – and I’ve seen first-hand what really makes a venue brilliant on the day, not just pretty on Instagram.
So here’s a short, realistic, no-fluff guide to viewing wedding venues, with the questions that actually matter.

1. Is our date available (or any good alternatives)?
Have a couple of backup dates in mind. Saturdays in peak season go fast, especially at popular Cotswolds venues.
2. Does it comfortably fit our guest numbers?
Ask about ceremony vs reception numbers. Some venues are tighter than they first appear.
3. Is it exclusive use?
Will it be just you and your guests, or are there other weddings or members of the public around?
4. Can we legally get married here?
If not, a celebrant-led ceremony is still an option – you’d just do the legal bit separately.
5. Who will we be dealing with during planning and on the day?
A calm, organised coordinator makes all the difference.

Money Stuff (That’s Easy to Miss)
Venues usually take the biggest slice of your budget, so clarity here is everything.
6. What’s included in the price – and what isn’t?
Ask for a full breakdown. Tables, chairs, staffing, lighting and even fairy lights aren’t always included.
7. Is VAT included?
It sounds obvious, but it catches couples out all the time.
8. How does the payment schedule work?
Deposit amount, instalments and final balance dates – get it all clear early.
9. Are there extra fees we should know about?
Late finishes, cleaning, corkage, staffing – better to know now than later.
10. What are bar prices like?
Your guests will thank you for checking.

Getting There, Staying Over, Getting Home
A gorgeous venue still needs to be practical for your guests.
11. What’s parking like?
And can cars be left overnight?
12. Is there on-site accommodation?
If yes, how many rooms – and can guests book them directly?
13. Where do guests stay nearby?
Most venues will have a trusted list of local hotels and B&Bs.
14. Are taxis easy to book at the end of the night?
Rural venues are stunning, but taxis need planning.
15. Is the venue accessible for guests with mobility needs?
Step-free access, accessible toilets and parking are all worth asking about.

Styling, Suppliers & How Flexible They Are
This is where your Pinterest board meets reality.
16. Are there any décor restrictions?
Candles, confetti, hanging installations – always check before buying anything.
17. Can we bring in our own suppliers?
Some venues have preferred lists, others are fully flexible. Neither is bad – just different.
18. Do you have recommended suppliers?
Suppliers who know the venue well can make the day run incredibly smoothly.
How the Day Actually Flows
This is the bit couples often forget to ask about.
19. What happens if it rains?
Every good venue has a solid Plan B – ask to see it.
20. How does the ceremony-to-reception changeover work?
Especially important if everything happens in one space.
21. What time can suppliers access the venue?
Florists, musicians and photographers all need time to set up.
22. What time does music stop, and is there a late licence?
So you know exactly how long the party can go on.

A Photographer’s Honest Tip
When you’re viewing venues, don’t just look at how it photographs. Pay attention to:
- How relaxed the staff feel
- How flexible the answers are
- Whether they talk about experience, not just packages
The best venues (like Merriscourt, Caswell House, Worton Hall, Cripps Barn, Stratton Court Barn, The Bodleian, Cotswold Hotel and Spa and Stone Barn) run beautifully because they’ve done it hundreds of times – and it shows.
Final Thought
If a venue ticks most boxes, feels right when you walk in, and the team make you feel looked after – that’s usually your answer.
And once you’ve booked it? Everything else starts to fall into place.
If you’re still venue hunting and want to chat through how different venues actually work on a wedding day, I’m always happy to share honest insight – photographer to couple, no sales pitch attached.
Happy venue viewing.
